Site Incharge – Employee Transport Services

Role Description

The Site Incharge – Employee Transport Services will oversee the daily operations of employee transportation services at a specific site. This includes efficient rostering, real-time monitoring of fleet operations, addressing employee grievances, and ensuring compliance with safety standards. Additionally, the role includes sourcing and managing vehicle vendors to ensure availability and quality of service.

 

 

Requirements & Qualification:

  • Graduate in any discipline (preferred: logistics, administration, or business management).

  • 3–5 years of experience in employee transport or fleet operations.

  • Strong coordination and Drivers management skills.

  • Proficiency in MS Excel, Google Sheets, and GPS-based tracking systems.

  • Knowledge of local transport norms and regulations.

  • Strong communication and problem-solving skills.

  • Willingness to work in shifts (especially early morning or late-night schedules).


Preferred:​

  • Experience in a similar role in BPO, IT, or airline/hospitality industries.

  • Familiarity with automated transport management systems (TMS).
     

Key Responsibilities:

1. Transport Operations Management:

  • Ensure smooth and timely transport of employees (both pickup and drop).

  • Coordinate with vendors, drivers, and the transport helpdesk for effective route planning and trip execution.

  • Monitor GPS systems, trip sheets, and vehicle usage.

  • Maintain records of transport schedules, delays, and incident reports.

  • Handle on-ground supervision of drivers and transport vehicles at the site.

  • Ensure employee satisfaction with transport services by resolving complaints and feedback promptly.


2. Vehicle Sourcing:

  • Identify and onboard reliable DCO vehicle (cabs, buses, etc.) as per organizational needs.

  • Maintain an up-to-date database of available vehicles.

  • Ensure vendor contracts, SLAs, and compliance documentation are in place.

  • Conduct periodic vendor performance evaluations and audits.


3. Safety & Compliance:

  • Ensure all vehicles meet safety, insurance, and permit requirements.

  • Conduct regular checks on vehicle fitness and driver credentials.

  • Monitor adherence to company transport safety protocols, especially for night shifts or female employees.

 

4. Reporting & MIS:

  • Prepare daily, weekly, and monthly reports on transport operations.

  • Track fuel usage, costs, DCO vehicles payments, and employee feedback.
